Merchant statements can contain sensitive business information. Upload only documents you are authorized to use and avoid including passwords, security codes, or full payment-card numbers.
Scope
This Privacy Policy applies to the True Merchant Rate website, account portal, statement-analysis tools, reports, communications, and related services that link to this policy (collectively, the “Service”).
It does not apply to websites, products, or services operated by third parties, even when the Service links to them.
Information we collect
Depending on how you use the Service, we may collect:
- Account information, such as your email address, name, company, role, and account preferences.
- Statement and business information, including documents you upload and data extracted from them, such as processing volume, transaction counts, processor names, fee categories, pricing details, and related report inputs.
- Communications, including support requests, consultation requests, feedback, and other messages you send to us.
- Usage and device information, such as pages viewed, feature interactions, browser type, device information, approximate location derived from an IP address, timestamps, and diagnostic events.

The Service uses automated systems to organize statement content, perform calculations, classify fees, identify patterns, and prepare explanatory material. Outputs depend on document quality, available fields, detected statement structure, and other inputs.
Automated results may be incomplete or inaccurate. Reports are intended to support review and informed discussion; they are not a substitute for checking the original statement, contract terms, or advice from a qualified professional.
How information may be disclosed
We may disclose information in the following circumstances:
- Service providers. Vendors may process information for hosting, authentication, storage, document processing, analytics, communications, security, and technical support.
- Your organization. If your account belongs to a partner, employer, representative, or white-label organization, authorized administrators may have access consistent with their role and the organization’s configuration.
- Legal and safety reasons. We may disclose information when reasonably necessary to comply with law, respond to valid legal process, enforce agreements, or protect rights and safety.
- Business changes. Information may be transferred in connection with a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.
- At your direction. We may disclose information when you request it or give consent.
We do not sell personal information for money.
Retention
We retain information for as long as reasonably necessary to provide the Service, maintain account and report history, satisfy legal or contractual obligations, resolve disputes, enforce agreements, and support security and business continuity.
